Soul Bliss Journeys retreat planning process from discovery call to departure in Bali

One of the most common questions we get from retreat leaders is a simple one: "What does it actually look like to work with you?"

It's a fair question. Handing the logistics of your retreat to a team on the other side of the world is a big decision — and you deserve to know exactly what happens between your first conversation with us and the moment your guests arrive in Bali.

Here's the full picture.

Step 1 — The Discovery Call

Everything starts with a conversation.

Before we talk venues, dates, or pricing, we want to understand your vision. Who are your guests? What kind of experience do you want to create? How many people are you planning for? What does your ideal retreat feel like from start to finish?

This isn't a sales call. It's a planning conversation — one that helps us understand whether we're the right fit for each other, and what a retreat built around your specific goals would actually look like.

By the end of the call, you'll have a clearer picture of what's possible, what it's likely to cost at a wholesale level, and what working together would involve.

Step 2 — Your Custom Wholesale Package

Once we understand your vision, we get to work building your custom wholesale package.

This is a complete, all-inclusive quote covering:

- Venue — sourced specifically for your group size, style, and dates

- Accommodation — rooms allocated for your guests

- Daily meals — catered on-site, with dietary accommodations

- Airport transfers — arrivals and departures coordinated

- Activities — curated to match your retreat's theme and pace

- On-ground support — our team, present throughout your retreat

- Visa and permit guidance — so nothing catches you off guard

This is your wholesale rate — the foundation you build your retail price on. Everything above it, including your facilitation fee, marketing costs, and profit margin, is yours to set and keep.

For a full breakdown of how to price your retreat on top of this, see our retreat pricing guide.

Step 3 — Planning & Confirmation

Once you're happy with your package and ready to confirm, the detailed planning begins.

This is where we get into the specifics — finalising your itinerary day by day, confirming your venue and suppliers, coordinating arrival logistics for guests coming from different countries, and making sure every moving part is locked in well before your retreat date.

Throughout this stage, you'll have a direct line to our team. Questions, changes, and adjustments are handled as they come up — no waiting on emails that disappear into a void.

Step 4 — You Lead, We Handle the Rest

On the ground in Bali, your job is to lead your retreat. Ours is to make sure everything around it runs seamlessly.

Our on-ground team handles:

- Guest arrivals and transfers

- Day-to-day logistics

- Supplier and activity coordination

- Meals and catering

- Any issues that come up — before your guests ever notice them

You focus on your teaching, your community, and creating the experience you promised your guests. We focus on everything else.

This is the part that retreat leaders consistently tell us makes the biggest difference — not just having a local contact, but having a dedicated team that takes operational ownership so you can be fully present as a facilitator.

Step 5 — After Your Retreat Ends

The relationship doesn't end when your guests fly home.

After your retreat, we're available to debrief, discuss what worked, and start thinking about what's next. Many of the retreat leaders we work with go on to host multiple retreats with us — refining their itinerary, growing their group size, and building a recurring retreat program that becomes a meaningful part of their business.

If you're planning to host again, starting that conversation early means better venue availability and more time to build on what you've already learned.

What Makes This Different

Most retreat leaders who come to us have either tried to coordinate everything themselves and found it overwhelming, or worked with a venue-only supplier and discovered how much they still had to manage on their own.

What Soul Bliss Journeys offers isn't a venue booking or a logistics spreadsheet. It's a complete partner — one team, one wholesale price, one point of contact, and an on-ground crew that treats your retreat like their own.

That's the difference between coordinating a retreat and truly delivering one.
