Checklist for choosing a Bali retreat planning company

So you've decided to host your own retreat in Bali. Great move — but here's the part that catches a lot of first-time retreat leaders off guard: not all "Bali retreat help" is the same.

Some companies sell you a venue. Some sell retreat seats directly to travelers. Some call themselves planners but only handle one piece of the puzzle.


Before you sign on with anyone, here are eight things worth checking — so you end up with a true partner, not just a vendor.


1. Do They Sell Wholesale Packages, or Just Venues?

A real retreat planning company builds you a complete wholesale package — venue, accommodation, meals, transport, activities, and support — all bundled at a wholesale rate, so you can set your own price and keep the margin.

Some companies only handle the venue booking and leave you to coordinate meals, transport, and activities separately, with separate vendors, separate invoices, and separate points of failure. Ask directly: "Is this one wholesale price covering everything, or am I assembling pieces myself?"


2. Local, On-Ground Team vs. Remote Coordination Only

Things go wrong in the middle of a retreat — a driver is late, a participant gets sick, a venue issue comes up at 11pm. What matters is whether someone is actually in Bali, reachable in real time, not answering emails from another time zone the next morning.

Ask: "If something goes wrong during my retreat, who handles it, and how fast?" A planner with a genuine on-ground team in Ubud should have a clear, specific answer — not a vague "we'll sort it out."


3. Visa and Legal Guidance Included?

Hosting a retreat as a foreign teacher in Indonesia comes with visa and legal considerations that catch a lot of first-timers off guard. A planning company that's actually set up to support retreat leaders should be able to walk you through what's required — not leave you to figure out immigration rules on your own three weeks before departure.

Ask: "What visa guidance do you provide, and is it included or a separate add-on?"


4. Transparent Margin Structure

You're paying a wholesale rate and setting your own retail price — that's the whole point of the model. But some companies aren't upfront about what's actually included in their wholesale number, which makes it hard to know your real margin until costs surface later.

Ask for a full breakdown of what's included in the wholesale price before you commit, not just a headline number.


5. Real Testimonials From Retreat Leaders, Not Just Participants

This is an easy one to overlook. A lot of Bali retreat companies show glowing reviews — but read closely: are those reviews from retreat leaders who used the service to host their own retreat, or from participants who simply attended someone else's retreat at a venue?

Those are very different endorsements. If you're hosting your own retreat, you want to hear from other leaders who've done exactly that — ideally with their name and what kind of retreat they ran.


6. Experience With Your Specific Style

Yoga, breathwork, coaching, corporate wellness, sound healing — each style has different space, equipment, and scheduling needs. A planner who's only ever supported one type of retreat may not anticipate what your specific format actually requires.

Ask: "Have you supported retreats in my specific style before? What did that look like?"


7. Response Time and Communication Style

Planning a retreat from abroad means you'll be messaging back and forth a lot, often across time zones. Before you sign anything, pay attention to how quickly and clearly they respond during the inquiry stage — it's usually a preview of what working together will actually feel like once you've committed.


8. Flexibility for Custom Itineraries

Some companies hand you a fixed, take-it-or-leave-it itinerary. Others build around your vision — your schedule, your activities, your pacing. If you have a specific structure in mind for your retreat, make sure the planner can actually flex to it, rather than fitting you into a template built for someone else's retreat.
